Accommodation

Moinhos Velhos Retreat offers a mix of en-suite guest rooms and cottages arranged across the property.

Accommodation comprises:

• 3 'premium' single rooms 
• 3 'compact' single rooms
• Twin rooms (4 twin rooms giving 8 beds in total)
• Twin cottages (2 twin cottages giving 4 beds in total)

All rooms and cottages are en suite. The twin cottages benefit from individual bathrooms for each occupant.

Included Capacity

• Standard hire includes accommodation for up to 18 overnight guests.

Additional Accommodation

• There is one additional single room available as complimentary room for the retreat host. This room isn't en suite but has a private bathroom next door.
• Room allocation is managed by the retreat organiser.

Capacity, Hosts & Staff

• All overnight guests, including retreat organisers, facilitators, chefs, assistants, or support staff, count toward the agreed guest numbers and maximum occupancy.

Pricing

Pricing is based on exclusive hire of the venue, including accommodation for up to 18 guests (with an option for 4 extra single room guests, see below)

Seasonal Nightly Rates (for exclusive site hire of the site) 

Rates are indicative and subject to confirmation based on dates, length of stay, and group details.

Minimum Hire Fee

A minimum hire fee equivalent to four (4) nights applies to all bookings. Shorter stays may be agreed by prior arrangement; however, the minimum hire fee will still apply.

Check-in / Check-out (for guests)

Standard check-in: from 4:00 pm
Standard check-out: by 12:00 pm
Alternative arrangements may be agreed in advance for facilitators and organisers subject to availability. 

Payment Terms

Booking Confirmation

A non-refundable deposit of 30% of the total booking value is required to secure the booking. The booking is confirmed once the deposit and a signed contract have been received.

Payment Schedule

• 30% deposit due at booking
• A further 40% payable three (3) months prior to arrival
• The remaining 30% payable thirty (30) days prior to arrival

Failure to make payments by the due dates may result in cancellation of the booking, with amounts retained in accordance with the cancellation policy.

Cancellation Policy (by the Organizer)

Cancellation must be made in writing. The following cancellation charges apply and are calculated as a percentage of the total booking value regardless of the amounts paid at the time of cancellation:

• More than 120 days before arrival: No charge (free cancellation)
• 90–120 days before arrival: 30% of the total booking value retained
• 60–89 days before arrival: 70% of the total booking value retained
• 30–59 days before arrival: 90% of the total booking value retained
• Less than 30 days before arrival or non-arrival: 100% of the total booking value retained (no refund)

Where the applicable cancellation charge exceeds the amount already paid, the outstanding balance shall become immediately due and payable.

Security Deposit

A €500 refundable damage deposit is required. This will be returned within ten (10) days of departure, subject to inspection of the property and deduction for any damage, loss, or excessive cleaning required.

Cancellation by the Owner

In the unlikely event that the Owner needs to cancel the booking due to circumstances beyond their reasonable control, including but not limited to illness, force majeure, or events making the property unavailable, all payments received will be refunded in full. The Owner shall not be liable for any additional costs incurred by the Organizer.

Catering

Catering (Optional) Our venue is offered on a space-only basis. Where available, we can offer catering through our preferred in-house or local retreat chefs. In house catering is priced at €40–€45 per person per day, with a minimum daily spend of €500, and is subject to chef availability. Alternatively, organisers are welcome to arrange their own caterer, and we are also happy to provide a list of recommended local chefs on request.

Miscellaneous 

What’s Not Included

Unless expressly agreed:

• Catering and food provision
• Chefs or support staff
• Transport
• Retreat facilitation or programming
• Insurance for participants

Children on Site

• Retreats involving children must be agreed in advance.
• The property includes features such as a swimming pool, outdoor spaces, and uneven terrain.
• Organisers are responsible for the supervision, safety, and insurance of any children attending.
• Moinhos Velhos Retreat does not provide childcare services.

Conduct

• The retreat organiser is responsible for participant conduct and adherence to house guidelines.
• The property is offered as a peaceful retreat environment; noise levels should reflect this at all times.
• Full terms are set out in the Retreat Hire Agreement issued upon booking.
